Managing Parent Portal settings
Section settings can be found under
Settings > Parent Portal Settings
Permission needed to access: Administrator - Administrator
Noticeboard
This allows you to configure the key information parents can see – putting contact information, SUBS info, and suchlike is suggested.
There are handy formatting options at the top to help you make it look fancy!
Configuration
This allows you to choose if when a person is transferred to you they need a new log in to access OSM, along with if photos and nests/lodges/sixes/patrols are viewable by parents.
e.g. if a Beaver is moved to the Cubs section, and their parent had access to OSM in Beavers, this allows you to choose if they need to wait for a Leader to send a link for them to access their child in the Cubs section – it is recommended to have it off, so it is done automatically.
Young Person's Access
These settings allow you to change what is visible and accessible by the young person themself logging on to the Parent Portal – this is not recommended for most sections, it is intended for explorers/network.
The recommended action is to leave the settings as is – when adding information about a child in the Personal Details area, do not input anything into the ‘Member’ box and it will not a be problem.
Emails
These settings let you change how emails will be sent to parents when automatically sent from OSM (e.g. badge’s being awarded, event invites, etc.)
It is recommended to have them set up like shown but customised for your section.
You can choose which contacts get sent the emails and if any copies are sent to an email for records – it is recommended to leave the settings like shown
Templates allow you to customise the automated emails sent via OSM. It may be worth having a look to ensure that all information is sent out properly and in-line with your Group's branding
Gift Aid
This allows Gift Aid to be collected through OSM – ensure that your Charity Name correct with the Charity Commission is entered.
Events
This allows you to configure the number of reminders sent to parents who have been invited – it is suggested to leave this as seen below.
These are some miscellaneous settings. It is highly suggested to ensure that ‘Personal detail confirmation’ is at ‘Confirmed in the last month’ to ensure that parents must go on and check that their YP’s details are correct.
This allows you to configure reminders for parents who have signed up via the Parent Rota, if you use this feature.
Programme
These settings allow you to give parents the ability to notify you that their child will not be attending the session via the Parent Portal, add the programme to their personal digital calendar, and enable the Parent Rota – allowing parents to sign up to help for a session, and configure it as well.
These settings allow you to change what information the parent sees in the Programme tab of the Parent Portal – it is suggested to have it set up like this, however the most important sections are ‘Summary’, ‘Meeting times’ and ensuring that the Number of meetings to show matches your preference, however ‘Remaining meetings in term’ is suggested.
Personal Details
This allows you to leave a message for parents to see when they log in to the Personal Details area, and also to ensure that have confirmed the details are up to date.

You can then choose which information is available for parents to edit and view, it is suggested to go through these and ensure all consents and other sensible options are selected.
Email Viewer
This allows you to configure if parents can view emails sent in the last 3 months in the Parent Portal, and if attachments are stored with them. It is suggested to have it set up like below, as email attachments come out of the small amount of storage you have available for attachments on OSM without paying for the extra storage upgrade.
Files
This allows you to upload documents that are always accessible by parents when they log onto the Parent Portal (e.g. welcome documents)
